Importing CSI or NAHB Codes into QuickBooks Desktop

Below are spreadsheets that can be used to import Service Items into the Service Items List for QuickBooks Desktop. For commercial contractors, either CSI 95 or 2012 format would be recommended and for residential contractors NAHB.

Important Things To Know

  • Importing Service Items is optional and may be used when a blank QuickBooks Desktop database has been prepared or if a company chooses to move to a industry standard coding structure.

Preparing the Service Item List to be Imported

  1. Download one of the Microsoft Excel (*.xls) files below and review the items.
  2. Update the Expense and Income GL Chart of Account columns in the spreadsheet. The GL Chart of Accounts referenced in the spreadsheet must exist in your QuickBooks Desktop file before importing.
  3. Save the spreadsheet.

Construction Industry Standard Service Items

  1. In QuickBooks Desktop, click File | Utilities | Import | Excel File
  2. In the 'Add/Edit Multiple List Entries' popup form, click No.
  3. Click 'Advanced Import'.
  4. Select the Microsoft Excel File within the Form.
  5. Select the Sheet name (i.e. Codes).
  6. Click “Add New” under Mapping.
  7. Enter a Mapping Name (i.e. Codes).
  8. Select “Item” for the Import Type.
  9. Match the following fields:
    • Type = Type
    • Name = Item Full Name
    • Is Reimbursable Charge = Reimbursable
    • Description = Description
    • Description on Purchase Transactions = Description
    • Income Account = Income Account
    • Expense/COGS Account = Expense Account
  10. Click Save.
  11. Click Import.
