Change QuickBooks Online company in the AccountingLink

If your organization switches to a different QuickBooks Online company, you’ll need to update the AccountingLink to ensure data continues to sync correctly. This process involves disconnecting the current company and linking the new one.

1. Log in to Sage Construction Management as an Admin.

2. Select AccountingLink > Sync Preferences > Disconnect from QuickBooks to disconnect from the existing connection.

3. Select Connect from QuickBooks to link to the new connection.

4. Review and set the Sync Preferences.

5. Unlink customers and vendors as follows:

   1. Select the Contact Management tab.

   2. Select View Exported Customers to unlink customers or View Exported Vendors to unlink vendors.

   3. Select all items from the list and select Unlink Selected Records.

6. Manually link all customers and vendors as follows:

   1. Select the Contact Management tab.

   2. Select Manually Link Customers / Vendors.

   3. Select the Sage CM Company and the appropriate QuickBooks Customer or Vendor.

   4. Select Link Customer.

   Repeat the steps above for all the customers and vendors that you want to link.

7. Unlink active prime contracts as follows:

   1. Go to Projects and select the appropriate project in the Quick Select section.

   2. On the Project Home page, select Prime Contracts in the Client Contract Admin section.

   3. Select the prime contract.

   4. In the Accounting Status section, select Unlink Transaction.

8. Link all active prime contracts that will have transactions sent to QuickBooks Online as follows:

   1. Go to the Accounting Link and select the Projects tab.

   2. Select Manually Link Projects | Primes.

   3. Select the Sage CM Project and the relevant QuickBooks Customer: Job in the dropdowns.

      The customer in QuickBooks Online must match the customer company listed in the prime contract within Sage Construction Management. In QuickBooks Online, jobs are nested under customers. To maintain accurate data relationships, link the Sage Construction Management project to the corresponding job, not directly to the customer.

   4. Select Link Project.
