Convert a work order to a change proposal request or change order

Before you begin

  1. Make sure work orders (WOs) are marked approved and reference a prime contract.
  2. WOs have estimated and actual values, so it’s important to determine which set of values will be copied to the CPR or CO before running the wizard.

Use the WO to CPR/CO wizard

  1. Go to Projects and select the appropriate project in the Quick Select section.
  2. On the Project Home page, select CPRs or COs in the Client Contract Admin section.
  3. Select Actions > Add From WO.
  4. Optionally, update the Project number as needed.
  5. Select the Prime Contract number.
  6. Select the Transaction Type To Create: CPR or CO.
  7. Select whether to Create New Transaction or not.

    If not, WOs will be copied to an existing CPR or CO.

  8. In the Work Orders section, select one or more WOs to be included in the CPR or CO.
  9. Select Next.
  10. In step 2, do the following:
    • If a new CPR or CO will be created from the selected WOs, do the following:
      1. Optionally, update the CPR # or CO #.

        Sage Construction Management automatically assigns the next number in sequence, based on the existing records and the default format.

      2. Optionally, update the Issue Date.

        The default value is today's date.

      3. Enter the Subject.

        It's recommended to include the WO numbers in the subject line. For example, WO 001, 002, 005.

      4. Optionally, update the Issued By and To Contacts as needed.

        The default contacts are based on those defined in the prime contract. The prime contract determines the issued by and to companies and cannot be changed.

      5. Optionally, update the Status and Status Date.

        If it is not approved yet, set the Status to Pending and leave the Status Date blank.

        If the workflow is enabled and a rule applies to the transaction, the status is automatically set to Pending and cannot be changed before the transaction is approved or rejected.
      6. Optionally, clear the Use Default AR Tax Code or Link Related Files checkboxes as needed.

      7. Select whether the Actual or Estimated values will be used for pricing and for cost.

      8. Select Finish.

    • If an existing CPR or CO will be updated to include the selected WOs, do the following:
      1. Select the CPR or CO from the dropdown.
      2. Optionally, clear the Link Related Files checkbox if you do not want to link to the CPR or CO the related WO files.
      3. Select whether the Actual or Estimated values will be used for pricing and for cost.
      4. Select Finish.
Next steps:
  • Update the work scope.

  • Revise the CPR or CO contract amount and adjust the cost/hour budgets.

  • If the workflow is enabled and a rule applies to the CPR or CO, start the workflow.

  • Set the status and status date.
