WO to CPR/CO Wizard
Review these items before running the wizard:
- Make sure work orders are marked approved and reference a prime contract.
- Work orders have estimated and actual values, so it is important to determine which set of values are to be copied to the CPR or CO prior to running the wizard.
Run the wizard
- Click the Projects icon on the left menu.
- Select the Project in the Quick Select section. This will then refresh the page and show the Current Project Home page.
- On the Quick Links tab, click the Client Contract Administration link under the Accounting and Project Management Departments section. This will refresh the page and show the Contract Administration Landing Page.
- Navigate to the CPR or CO row in the Stats section depending on what type of change record to be created.
- Click the Actions button on the far right.
- Click Add From WO option from the drop-down menu.
- Within the Wizards form, the Project # should be selected already but can be changed.
- Select the Prime Contract #. This will then refresh the Approved WOs listing in the grid below. If a WO is not listed, please check to ensure it is marked approved and references the selected Prime Contract.
- Select Transaction Type To Create: CPR or CO
- Select Create New Transaction: Yes or No. The latter option is used for copying one or more WOs to an existing CPR or CO.
- Select one or more WOs to be included in the CPR or CO by clicking the checkbox on the left.
- Click the Next button shown below the grid.
- If WO(s) are being used to create a new CPR or CO:
- The CPR or CO # field should be already set to the next available number but can be modified. Order # will also be shown if a CO is being created.
- The default Issue Date will be set to today but can be modified.
- Enter the Subject. Suggestion: List the WO numbers in the subject field (ex WO 001, 002, 005).
- The Issued By and To Companies are determined by the specified Prime Contract and can not be changed.
- Optional: Select the Issued By and To Contacts. Defaults are set to the contacts specified in the Prime Contract.
- Optional: Select the Status and Status Date. If it is not approved yet, set the Status to Pending and leave the Status Date blank.
Workflow Note: If Workflow is turned on in Settings and a CPR or CO rule applies then Status will be set to pending and can not be changed until after approval or rejection.
- If WO(s) are being added to an existing CPR or CO, select the CPR or CO.
- Optional: Link the related WO files to the CPR or CO.
- Select the values for the items price: estimated or actual.
- Select the values for the items cost budget: estimated or actual. Usually this is the same as the items price. See step above.
- Click the Finish button.
Review after you complete the wizard
- Change Work Scope
- CPR/CO Contract Amount Revision and Cost/Hour Budgets
- Initiate Workflow if Workflow is enabled and a Rule applies
- Status and Status Date
