Email an invitation to bid to vendors

You can send an email with invitation to bid (ITB) information to subcontractors and suppliers.

  1. Go to Leads or Projects and select the lead or project in the Quick Select section.
  2. On the Lead or Project Home page, select Invitation To Bid (ITB) in the Preconstruction section.
  3. Optionally, to include drawings or specifications in the ITB, do the following:
    1. Select the Linked Files tab.
    2. To add new files, select Add and select the appropriate file from your local drive.

      Alternatively, drag and drop the file in the Drop files here area.

    3. To add existing files:
      1. Select Link Existing and select one of the following options as needed:
        • Drawings & Specs
        • Photos
        • All Other Records
      2. If you selected Drawings & Specs or All Other Records, select an option from the Feature Name dropdown. If you selected Photos, select an Album from the dropdown instead.

      3. Select one or more files from the list.
      4. Select Link & Close.
  4. Select the Vendors tab.
  5. Optionally, select Filters to filter the vendor list.
  6. Select one or more vendors from the list and select Send Invitation.
  7. In the dialog, select a Template and select Ok.
  8. Select the recipients in the Recipients List section and optionally import recipients to the CC List section.
  9. In the Linked File Attachments section, select the Grant Access next to each file that you want to share through the TeamLink Portal.
    Files in the Linked File Attachments section are not added as attachments to the email.
  10. Optionally, select Choose File in the Email Upload Attachments section to include any additional files as attachments to the email.
    Files uploaded in the Email Upload Attachments section are not added to the Linked File Attachments section or shared through the TeamLink Portal.
  11. Optionally, update the Subject and Body as needed.
  12. Select Send Email.

    Each vendor receives their own individual email, ensuring their information remains private from other competitors.
