Add Crew Timecards (Field Crews Turned Off in Settings | Feature Settings | Time and Expenses)
The steps listed below are applicable when Field Crews are turned OFF in Settings | Feature Settings | Time and Expenses.
Add Crew Timecard - Step 1
- Select the Timecard Date. The default will be set to today.
- Select the Project #.
- Select the Prime Contract #.
- Select the Company (ie. Your Firm).
- Click the 'Next' button at the bottom.
Add Crew Timecard - Step 2
Select CO, WO and Job Cost Code References:
- Optional: Select the CO or WO #.
- Optional: Check 'Create Equipment Timecard'. An Equipment Timecard section will be shown dynamically when checked.
- Optional: Check 'Create Daily Log'. This will create the following Daily Log entries.
- Daily Log Contact: User entering Crew Timecard.
- Daily Log Manpower: Employees and hours referenced in Crew Timecard form.
- Daily Log Major Equipment: Equipment and hours referenced in Crew Timecard form.
- Daily Log Major Activities: Entries made in respective section on Crew Timecard form (ie. Job Cost Code Description, Installed Quantity, and Comments).
- Daily Log Weather and Site Conditions: Entries made in respective section on Crew Timecard form.
- Navigate to Entry 1 column and select the Job Cost Code. This will apply to the following sections: Crew Employees, Crew Equipment, and Daily Log Activities.
Crew Employees | Labor Timecards:
Labor timecards will be initially marked pending and can be approved in the HR module.
- Navigate to Crew Employees section.
- Optional: Select the Labor Code (aka Craft Code). This would be applicable if standard rates are setup per labor type and position such as for unions in the United States.
- Optional: Select the Workmens Comp Code. If none is specified, Sage Construction Management will do a lookup on the Project Job Cost Code table to see if there is a default code but this is done upon saving the timecard entry. - Select the Payroll Item. Options are coming from either the Employee Profile or Labor Item form. The latter is only applicable if Labor Code is specified.
- Select the Employee from the drop-down.
- Enter the corresponding hours.
- Repeat the previous two steps for additional employees.
Crew Equipment | Equipment Timecards:
Only applicable if 'Create Equipment Timecard' is checked at the top.
- Click 'Add Equipment' link.
- Select the Equipment Item from the drop-down.
- Enter the corresponding Run Time (RT), Idle Time (IT), and Down Time (DT) hours.
- Repeat the previous two steps for additional equipment.
Daily Log Activities:
Only applicable if 'Create Daily Log' is checked at the top.
- Optional: Enter the Installed Quantity for the referenced Job Cost Code and Units.
- Optional: Enter Activity Comments for this particular Job Cost Code.
Entries 2 - 5:
The Crew Timecard form allows up to five different combinations of Job Cost Code and Payroll Item references. Please repeat steps listed in Crew Employees, Crew Equipment, and Daily Log Activities if additional entries are needed.
Daily Log Weather and Site Conditions:
Only applicable if 'Create Daily Log' is checked at the top.
- Enter the Time (ex. 8:00 AM).
- Optional: Enter the temperature in Fahrenheit or Celsius.
- Optional: Select the Weather Conditions from the drop-down.
- Optional: Enter the wind speed (ex. 10 MPH).
- Optional: Select the Site Conditions from the drop-down.
- Repeat steps above if additional entries are needed.
Copying Entries for Next X Days
Entries can be copied by checking the 'Copy entry for next' option at the top of the form and entering the number of Consecutive Days. Thus, the system will not take into account weekends or holidays.
Saving Crew Timecards and Daily Log Details
Be sure to Click the 'Add' or 'Add and Close' button at the bottom of the form.
