Create a bill from a PO

You can create bills automatically from a PO.

Review the original PO

  1. Go to Projects and select the project in the Quick Select section.
  2. On the Project Home page, select POs in the Procurement section.
  3. Optionally, use the Search field to filter the PO listing.
  4. Select the PO number to open the PO Information page.
  5. Compare the PO's item unit prices and quantities with the vendor's invoice, so no discrepancies occur.

    For partial deliveries, the bill's item quantity can be less than the PO.

  6. Select Actions > Create Bill from PO.

Create a bill using the PO to Bill Wizard

  1. Select the appropriate vendor and PO.

    If the PO to Bill Wizard was initiated from the PO details form, then this information is automatically selected.

  2. Select Next.
  3. For each invoice item, review and update the Current Bill Qty and Unit Price as needed.
    The Current Bill Qty can be less than the PO Item Qty if there are multiple shipments. A warning will appear when attempting to bill more than the PO item quantity, but you will be able to continue.
  4. Enter the vendor's Invoice # and Issue Date.
  5. Optionally, update the Subject.
  6. Select the Terms.

    The payment Due Date is automatically populated based on the value selected in this field.

  7. Optionally, update the payment Due Date.
  8. Optionally, select the Bill Type.
  9. Select if the related PO files must be linked to the bill.
  10. Select Finish.
