PO to Bill Wizard

The steps listed below pertain to creating Bills automatically from a PO.

Reviewing the Original PO

  1. Click the 'Projects' icon on the left menu.
  2. Select the Project.
  3. On the Projects menu, under Procurement, select POs.
  4. Use the Search field to filter the PO listing.
  5. Click on the PO # to view the details.
  6. Compare the PO's item unit prices and quantities with the vendor's invoice so no discrepancies occur. For partial deliveries, the Bill's item quantity may be less than the PO.
  7. Click the 'Create Bill from PO' option under the Actions button at the top.

Using the PO to Bill Wizard

  1. Select the appropriate vendor and PO. If the PO to Bill Wizard was initiated from the PO details form then this information will be automatically selected.
  2. Click 'Next' at the bottom.
  3. For each invoice item, review and update the Current Bill Qty and Unit Price.
    Note: The Current Bill Qty can be less than the PO Item Qty if there are multiple shipments. A warning will appear when attempting to Bill more than the PO Item quantity but the user will be allowed to continue.
  4. Enter the Vendor's Invoice # and Invoice Date.
  5. Select the Terms. This will automatically populate the Payment Due Date.
  6. Optional: Update Payment Due Date.
  7. Check if the uploaded PO files should be linked to the Bill.
  8. Click the 'Finish' button.
