Create a bill from a PO

You can create bills automatically from a PO.

Open and review the PO details

  1. Go to Projects and select the appropriate project from the list.
  2. On the Project Home page, select POs in the Procurement section.
  3. Optionally, use the Search field to filter the PO listing.
  4. Select the PO number from the list to open the PO Information page.
  5. Compare the PO's item unit prices and quantities with the vendor's invoice, so no discrepancies occur.

    For partial deliveries, the bill's item quantity can be less than the PO.

Create a bill using the PO to Bill Wizard

  1. Select Actions > Create Bill from PO.

    When the PO to Bill wizard is initiated from the PO Information page, the Project, Prime Contract, Supplier Company, and PO # fields are populated automatically.

  2. In the PO Lines section, select one or more items to be added to the bill.

    The original purchase order (PO) quantities and the approved and pending purchase order change order (POCO) quantities display for each item under the Orig PO Qty, Appr POCO Qty, and Pend POCO Qty columns.

  3. For each selected item, review and update the Current Bill Qty, Billable Status, and Unit Price as needed.
    The Current Bill Qty can be less than the PO Item Qty if there are multiple shipments. A warning will appear when attempting to bill more than the PO item quantity, but you’ll be able to continue.
  4. Enter the vendor's Invoice #.
  5. Optionally, update the Issue Date.

    The default value is today's date.

  6. Optionally, update the Subject.
  7. Optionally, select the payment Terms.

    The payment Due Date is automatically populated based on the value selected in this field.

  8. Optionally, update the payment Due Date.
  9. Optionally, select the Bill Type.
  10. Select the Approved checkbox if the bill has been approved.

    If this option is not selected, the bill will remain in pending status.

  11. Optionally, select to Link Related PO Files to the bill.
  12. Select Finish.
