Email open items to external team members

You can send an email with the open items to external team members, such as architects and subcontractors, listing certificates and project information that require their attention and follow-up.

This functionality is available from the procurement, correspondence, documentation, and quality and safety home pages. Below are the records that Sage Construction Management will check to determine if any opens items exist.

Open items per module

Company Profile - Insurance and licenses

Feature Filter Criteria
Insurance List with general and project specific insurance records that have expired for the selected company.
Licenses Licenses that have expired for the selected company.

Contract Administration

Feature Filter Criteria
CPR - Impacted company
  • CPR Status is set to Pending or Pending Submission.
  • Impacted Company is set to the selected company and contact.
  • Impacted company Response Due Date is null.

Procurement Module

Feature Filter Criteria
Procurement RFP package
  • Vendor Locking is set to False.

  • Bidder is set to the selected company and contact.

  • The Date Responded is null.

Correspondence Module

Feature Filter Criteria
Issues
  • Issue Status is set to Open.

  • Company Involved is the selected company and contact.

  • Response Date is null.

Journal
  • Journal Status is set to Open.

  • Respondent is the selected company and contact.

  • Response Date is null.

RFI
  • RFI Status is set to Open.

  • Respondent is the selected company and contact.

  • Response Date is null.

Submittal - Originator
  • Submittal Status is set to Open.

  • Originator is the selected company and contact.

  • Date Item Rec'd From Orginator is null.

Submittal - Respondent
  • Submittal Status is set to Open.

  • Respondent is the selected company and contact.

  • Response Date is null.

Documentation Module

  • Mtg Item Status is set to Open.

  • Company Responsible is the selected company and contact.

Owner Items
  • Actual Delivery is null.

  • Supplier is the selected company and contact.

Work Order (WO) - Issued To
  • WO Status is set to Open.

  • Issued To is the selected company and contact.

Work Order (WO) - Reviewer
  • WO Status is set to Open.

  • Reviewer is the selected company and contact.

  • Review Comments is null.

Quality and Safety Module

Feature Filter Criteria
Comply Notices
  • Comply notice Status is set to Open.

  • Issued To is the selected company and contact.

  • Response Date is null.

Punchlist Item
  • Punchlist Status is set to Open.

  • Responsible is the selected company and contact.

  • Completion Date is null.

Test and Inspection
  • Test Overall Status is set to Open.

  • Sample Test Status is set to Pending.

  • Testing Company is the selected company and contact.

Scheduling Module

Scheduling Tasks
  • Task Status is not set to Completed.

  • Assigned resource is the selected company and contact.

Send email from the Lead or Project Home page

  1. Go to Leads or Projects and select the lead or project in the Quick Select section.
  2. On the Lead or Project Home page, select Team Open Items under the Project Team section.
  3. Select a company and contact from the list.
    If a contact is not specified, select the company only to show the items assigned.
  4. Review the open items list.

    If an item should not be on the list, select the item number to review the information.

  5. Select Send Email.

    The email will include a hyperlink and a security code enabling the external team member to access the portal for their follow up.

Send email from the module overview page

The open items email option is available on the Procurement, Correspondence, Documentation, and Quality and Safety modules.

  1. Go to Leads or Projects and select the lead or project in the Quick Select section.
  2. On the Lead or Project Home page, select the Procurement, Correspondence, Documentation, or QC and Safety Overview page, as needed.
  3. Select Team Open Items in the Related Functions section.
  4. Select the company and contact from the list.
    If a contact is not specified, select the company only to show the items assigned.
  5. Review the open items list.

    If an item should not be on the list, select the item number to review the information.

  6. Select Send Email.

    The email will include a hyperlink and a security code enabling the external team member to access the portal for their follow up.
