Equipment job costing overview
The following guidelines outline best practices for equipment job costing.
Although job cost codes typically represent work type (for example, sitework, concrete, masonry) rather than resource (such as materials, labor, or equipment), a separate code may be needed for equipment rental and fuel. This is especially useful when equipment is used across multiple scopes of work.
For example:
| Code | Description | Quantity | Units |
|---|---|---|---|
| EqpRent | Equipment Rental and Fuel | 1 | Ls |
Create a purchase order (PO) for the rented equipment and rental period, then convert it to a bill using the PO to Bill Wizard. If no PO is issued, enter a bill when you receive the supplier’s invoice.
PO or bill line items example:
| Item # | Description | Quantity | Units | Unit Rate | Total | Cost Code | Resource |
|---|---|---|---|---|---|---|---|
| 1 | Backhoe | 3 | Weeks | $1000.00 | $3000.00 | EqpRent | E |
| 2 | Bobcat | 1 | Month | $5000.00 | $5000.00 | EqpRent | E |
As noted above, costs for rented equipment are recorded using POs and bills. However, if you need to track hours, set run-time, idle-time, and down-time cost rates to zero ($0.00) to avoid duplicate costs.
Create owned equipment in the Equipment module, typically with hourly rates for run time, idle time, and down time. After it's set up, enter equipment timecards using the project’s Time and Expense feature or the Time & Expenses module.

If a fuel truck periodically supplies gas or diesel to the job site, enter the supplier’s invoice using the Bill feature.
Fuel supplier bill line items example:
| Item # | Description | Quantity | Units | Unit Rate | Total | Cost Code | Resource |
|---|---|---|---|---|---|---|---|
| 1 | Backhoe - 50 Gallons of Fuel | 50 | Gal | $3.00 | $150.00 | EqpRent | E |
| 2 | Bobcat - 25 Gallons of Fuel | 25 | Gal | $3.00 | $75.00 | EqpRent | E |
