Employee miscellaneous expenses overview
Use the Misc. Expenses feature to record project expenditures when a standard purchase order (PO) is not practical. For example, when an employee pays for fuel using a credit card or cash.

Purchase orders (POs): Bills with or without POs

Subcontracts: Subcontract change orders (SCOs) and subcontract invoices

Miscellaneous expenses: For all other project costs

Miscellaneous expenses appear in both the Committed Cost and Cost To Date sections of project analytics.

Status values follow this sequence: Draft → Pending Submission → Pending → Not Approved → Approved

For Cost Plus prime contracts, miscellaneous expenses marked as Billable can be included in a prime contract invoice.

Only approved miscellaneous expenses can be exported to an accounting system using the AccountingLink.

The payment type is required and affects how transactions are processed during export using the AccountingLink.

When exported, miscellaneous expenses can be automatically locked to prevent further edits or deletion. Learn more about locking miscellaneous expenses automatically after export.

Ensure that your company is listed in the project directory and that an employee is selected in the Expense Contact field.
- Specify payment types, because this field is required when entering miscellaneous expenses.
- Optionally, specify miscellaneous expense types for grouping.

Ensure that the prime contract referenced on the miscellaneous expense is approved with a status date.
- A job cost code is required when entering miscellaneous expenses.
- Optionally, specify tax codes that will be referenced on miscellaneous expenses.
