Invitation to bid (ITB) overview
The Invitation to Bid (ITB) feature is an email-based communication tool used to announce upcoming job opportunities to subcontractors and suppliers. Its primary purpose is to gauge vendor interest in a specific project. You can attach or link drawings and specifications directly to the ITB, enabling vendors to review project details and make informed decisions about whether to participate.
An ITB must not be confused with a Request for Pricing (RFP) package, which is specifically intended for vendors to submit pricing for materials or services.
The ITB email notification generated from Sage Construction Management includes a hyperlink that allows vendors to log in to the TeamLink portal. From the portal, vendors can view the bid due date and time and access any associated drawings and specifications.
After receiving the ITB, vendors can use the TeamLink portal to submit private questions or comments directly to the bid captain or coordinator, ensuring clear and confidential communication.
The following response status options are available for ITBs:
- No Response
This is the default status when firms are added to the ITB list.
- Undecided - Waiting For Plans
- Undecided - Reviewing Plans
- Undecided - Need Assistance
- Not Bidding
- Bidding

Before sending invitations, make sure subcontractors and suppliers are added to the Contact Management module. Be sure to include the company name, contact details, and a valid email address.
- Create the lead or project.
- For leads, make sure to select the Show In Portal option when creating the lead, to enable bidders to view details for invitation to bids (ITBs) through the TeamLink portal. Alternatively, you can select this option in the Lead Home page.
- Optionally, upload drawings and specifications.
