Invitation to bid (ITB) overview
The Invitation To Bid (ITB) feature is an email communication tool that can be used to announce an upcoming job opportunity to subcontractors and suppliers. The primary purpose of the ITB is to gauge vendor's interest in the job opportunity. You can link drawings and specifications to the ITB, enabling vendors to make informed decisions about their participation.
An ITB must not be confused with request for pricing (RFP) packages, which focus on vendors submitting pricing for items.
The ITB email alert generated from Sage Construction Management includes a hyperlink that the vendor can use to log in to the TeamLink Portal. Within the portal, vendors can view the bid due date and time, as well as access linked drawings and specifications.
Vendor response process for an ITB
After receiving the ITB, vendors can use the TeamLink Portal to submit private questions or comments directly to the bid captain or coordinator, ensuring clear and confidential communication.
The following are the available ITB response status options:
- No Response
This is the default status when firms are added to the ITB list.
- Undecided - Waiting For Plans
- Undecided - Reviewing Plans
- Undecided - Need Assistance
- Not Bidding
- Bidding
Before you begin
- Add subcontractors and suppliers to the Contact Management module. Make sure to add the company and contact along with an email address otherwise Sage Construction Management cannot send the invitations.
- Create the project lead or project.
- For leads, make sure to select the Show In Portal option when creating the lead, to enable bidders to view details for invitation to bids (ITBs) through the TeamLink Portal. Alternatively, you can select this option in the Lead Home page.
- Optionally, upload drawings.
- Optionally, upload specifications.
